Complete guide to setting up and using ChatGent and creating AI-powered chatbots for your website

1. Getting Started

Welcome to ChatGent

ChatGent is an AI-powered chatbot platform that lets you create, customize, and deploy chatbots for your website. You can choose a bot type (industry)—such as Software, Dental, WooCommerce, or Shopify—to get tailored prompts and setup questions. This guide walks you through setup and daily use.

Prerequisites

  • An active account with email verification completed
  • A subscription plan (Free tier lets you try with 1 bot and limited conversations; upgrade to Starter or Pro for more bots and features)
  • A website where you want to embed your chatbot

Quick Start

  1. Sign up and verify your email address
  2. Choose a plan from the Billing page (Free, Starter, Pro, or Enterprise)
  3. Create your first bot and pick a bot type (industry)
  4. Answer the setup questions and configure prompt & theme
  5. Copy the embed code and add it to your website

2. Creating Your First Bot

Step-by-Step Guide

Step 1: Navigate to Bots

Click "Bots" in the dashboard navigation, then "New bot". Your plan limits how many bots you can create (Free: 1, Starter: 1, Pro: 5).

Step 2: Choose a Bot Type (Industry)

Select the type that best fits your business. This determines the setup questions and built-in behavior:

  • Software — Support, docs, pricing
  • Dentist — Appointments, services, insurance; optional calendar
  • WordPress / WooCommerce — Store products, categories; sync from your store (Starter/Pro)
  • Shopify — Store products, collections; sync from Shopify (Starter/Pro)
  • Custom — Generic business; flexible fields

Step 3: Fill In Basic Information

  • Name: A clear name for your bot
  • Allowed Domains: The domains where the widget will be embedded (e.g. yoursite.com)
  • Industry questions: Answer the questions shown for your chosen type (e.g. store URL, practice name, support email)

Step 4: Configure Behavior & Save

Set system prompt, knowledge base (if your plan includes it), quick replies, and theme. Then click "Create" to save your bot.

3. Configuring Your Bot

System Prompt

Defines your bot's personality, tone, and role. On paid plans you can also use industry templates for a head start.

Knowledge Base

Extra context (URLs, files). The number of sources depends on your tier (Starter: 3, Pro: 20). Free tier does not include knowledge base sources.

Quick Replies

Pre-defined buttons for common questions (e.g. pricing, hours). You can add several depending on your plan.

Theme & Branding

Customize position, colors, avatar, and bot name. On Starter and above you can remove "Powered by ChatGent" branding.

Lead Capture

On Starter and Pro you can enable a lead form (name, email, phone) before or during chat. Collected leads appear in the dashboard.

E‑commerce (WooCommerce / Shopify)

If your bot type is WordPress or Shopify, you can connect your store (Starter/Pro). Products and categories sync to ChatGent so the bot can answer product questions. Starter: up to 500 products; Pro: up to 2,000.

4. Embedding Your Bot

Getting Your Embed Code

  1. Open your bot in the dashboard
  2. Find the "Embed Code" section
  3. Click "Copy"
  4. Paste the script before the closing </body> tag on your site

Important: Add every domain where the widget will appear to "Allowed Domains". Otherwise the chat will not load.

5. Managing Bots & Conversations

Bots

From "Bots" you can view, edit, or delete bots. Your plan limits how many bots you can have.

Conversations

View chat history per bot. Message retention depends on your tier: Free 7 days, Starter 30 days, Pro 90 days.

Leads

If lead capture is enabled, leads appear in the Leads section with name, email, phone, and status. Available on Starter and Pro.

Deleting a bot is permanent and cannot be undone.

6. Billing & Subscriptions

Plans (Tiers)

ChatGent uses subscription tiers. All paid plans are monthly or yearly; there are no one-time payments.

  • Free — $0. One bot, 30 conversations/month, 7-day retention, "Powered by ChatGent" branding.
  • Starter — $9.99/mo or $99/year. One bot, unlimited conversations (with your own API key), 30-day retention, remove branding, lead capture, e‑commerce sync (500 products), industry templates, custom themes.
  • Pro — $19.99/mo or $199/year. Five bots, 90-day retention, 2,000 products, daily report, team seats (e.g. 3), more knowledge base sources.
  • Enterprise — Custom pricing. More bots, longer retention, and custom limits. Contact sales.

Upgrade, change interval, or cancel from the Billing page. You use your own OpenRouter API key (BYOK) on Starter and above, so you control AI usage and cost.

7. Troubleshooting

Common Issues

  • Widget doesn't appear: Check embed code and that your site's domain is in Allowed Domains.
  • Wrong or vague answers: Improve system prompt and knowledge base; ensure bot type and industry questions are filled in.
  • Can't create another bot: You may have reached your plan limit (Free: 1, Starter: 1, Pro: 5). Upgrade on Billing.
  • E‑commerce / lead features missing: They require Starter or Pro and the right bot type (e.g. WordPress/Shopify for store sync).
  • Login or verification: Complete email verification and check your password or magic link.
